Translation Glossary
Translation Glossary makes machine translations use your organization's own terminology. You upload term lists with the approved word for each language, and every translation keeps those exact terms while the rest of the topic is translated around them. Use it for product names, regulated vocabulary, or any term that must never be translated loosely. For example, it can make sure "torque wrench" always becomes the same approved term in German.

Upload a glossary
- Open Organization Settings > Glossaries.
- Select Upload glossary and give it a name.
- Add an Excel (.xlsx, .xls, .xlsb) or CSV file of up to 8 MB, with one column per language and one row per term.
- Check the preview for problems, then select Save glossary.
Only Owners and Admins can upload, edit, or delete glossaries. Every member can view them.
After you save, the banner shows "Building your glossary" for up to about a minute, then "Your glossary is in use". While it builds, translations use the previous version. If the banner reports a problem, such as two of your lists giving different translations for the same term, fix the lists and select Try again or Rebuild.
Manage glossaries
The list shows each glossary's name, languages, number of terms, and when it was last updated. For each one you can:
- Edit terms in a searchable grid, add terms with Add term, and save with Save terms
- Replace with a new file
- Download as CSV
- Delete it
Translate with your glossary
- Open a topic in a language it doesn't have yet.
- Choose the source language under From, then select Translate to the target language. Translation can take up to a minute.
- Read the note that follows. It confirms that your glossary was used, or tells you if your glossary has no terms for that language, or if some required terms didn't come through.
- Review the translated draft, then publish it.
Every glossary applies to every translation. You can't choose a glossary for an individual topic. Machine translation is available for rich text topics.
With Proofread, you can also check existing translations against your glossary terms.
If you uninstall it
The Glossaries tab is hidden and translations stop using your terms. Topics you already translated are not changed.
